Composing, Replying &  Forwarding E-mail


Now that you have your address book set up, the next thing you will want to do is to send a new message to someone in that address book.

Composing New Mail

  1. To create a new message, click the "COMPOSE MESSAGE" button on the toolbar or choose "Compose; New Message" or press Ctrl+N. Now you will see the new message window.
  2. On the "TO" line, either type the address to which you want to send the message or select the recipient from your address book by clicking on the "book icon" to the left of the "TO" box. This will send one message to one person.

    Now.. what if you want to send an email to two or more people? There are two options. CC and BCC. What is CC? CC stands for carbon copy. A carbon copy is a duplicate of a note sent to an addressee other than the main addressee. A blind carbon copy (BCC) is a copy sent to an addressee that is not visible to the main and carbon copy addressees. For example, you may have a group of friends that you like to send jokes and funny emails that you receive. To keep the email addresses of those people private, simply click on the BCC button and then select the recipients from your address book. The fact that a blind carbon copy was sent is not apparent to main or carbon copy recipients.

  3. Type the subject of the message you are sending on the subject line.
  4. In the box in the lower half of the New Message window, type the text of your message.
  5. Check the spelling of your message by choosing "Tools; Spelling" from the menu bar. This prompts Outlook to check all the words you typed and gives you the option to correct them. Once this is finished your email is ready to send!
  6. Click on the "SEND" button on the left-hand side of the New Message box. You will see the message go to the "outbox" and then send. After a few moments you will notice that it has been moved to the "sent folder", and is on its way to the recipient (s).

Replying To Messages

  1. Replying to an email you have received from family and friends is even easier! If you want to send a reply to only the person who sent the email, click the "Reply" Button on the toolbar. If the message was sent to you and several others and you want to reply to everyone, then you click "Reply to All" button.

    This will prompt a message composition window to pop up. It will already have the email addresses in the "To" line and the "subject" line will already be filled in too. The text of the original message will appear in the message area.
  2. Delete all the parts of the original message that don't pertain to your reply. Then type your reply before the original message.

Send the message by clicking the "SEND" button on the toolbar.

Fowarding Messages
 

  1. To forward a message you've received, click the "FORWARD MESSAGE" button on the toolbar. This will prompt the message composition window to open, with the text of the original message in the message area and the subject already filled in. You may also see a bunch of email addresses prior to the message - sometimes it's a very long list of email addresses if the message has been forwarded many times. PLEASE do yourself and the person who sent the message to you a favor, and delete all those unwanted email names. The people you send the message to will thank you for not having to weed through a bunch of email address lists.
  2. Now either type in the address/addresses or select from your address book the names of the people to which you want to send the message.
  3. Type an additional message in the message area, if you want.
  4. Send the message by clicking the "SEND" button.
